How Much Does It Cost to Rent a Meeting Room in Dubai?

How Much Does It Cost to Rent a Meeting Room in Dubai?

Quick answer: meeting room prices in Dubai depend on three things — how long you book, how many people you bring and what is included. A room that looks cheap per hour can cost more than a half-day package once AV, setup and refreshments are added. Always compare the total for your actual session, not the headline rate.

The three pricing models

Hourly

Common in coworking spaces and business centres. Good for a one-hour client meeting or interview. The catch: setup time, overruns and extras are often charged separately, and you may have to vacate the moment your slot ends.

Half day

Usually four hours, morning or afternoon. This is the sweet spot for board meetings, workshops and most training sessions. A good half-day package includes the room, AV, setup and hot drinks in one price.

Full day

Typically eight hours. Best for training courses, offsites and conferences. Full-day packages usually cost less per hour than two separate half days and often bundle catering options.

What should be included in the price

When you compare quotes, check that each one covers the same things. At minimum, a professional meeting room rate should include:

  • The room itself, set to your chosen layout before you arrive
  • Screens, projection and connectivity, tested with you beforehand
  • Internet access strong enough for video calls
  • Tea, coffee and water through the session
  • A person on hand if something does not work

As an example, room hire at our meeting room in Dubai Investment Park starts from AED 800 per half day, and that price covers the room, the AV, the setup and coffee service for up to 25 people.

The extras that raise the bill

  • Catering: breaks and working lunches are normally per head. Ours start from about AED 110 per person through the in-house kitchen.
  • Recording or streaming operators: a dedicated technician for live streams or recordings is usually quoted separately.
  • Printing and materials: handouts, name badges and certificates.
  • Parking: in some districts guests pay for parking — a real cost if you are hosting 20 people. Free parking in the building removes it.
  • Overtime: running past your slot can trigger hourly charges.

How to compare two quotes fairly

  1. Write down your real timings, including setup and a 30-minute buffer.
  2. List what you need: screens, cameras, catering, parking, whiteboard.
  3. Ask each venue for a fixed quote covering all of it.
  4. Compare totals per person, not per hour.

This usually shows that a half-day package beats stacking hourly slots, especially once you count the time your team spends dealing with problems that an all-inclusive venue would have handled.

When paying a little more is worth it

For a board meeting, a client pitch or a paid training course, the room is part of your reputation. A quiet, properly finished space with reliable AV and good coffee costs slightly more than a basic room, but it protects the outcome you are paying for.

A worked example

Imagine a 12-person workshop from 10:00 to 15:00 with lunch. On an hourly model you would need six hours including setup and clear-down, plus AV, plus catering, plus parking for guests. On a package model you would book a full day or a long half day with the room, AV, setup and drinks included, then add lunch per head. Once every line is on paper, the package is usually simpler, more predictable and often cheaper — and the venue has an incentive to make the whole day work, not just the hours you paid for.

Questions that reveal the real price

  • Is the AV included, or charged per item?
  • Is setup time inside or outside my booking?
  • Are tea, coffee and water included all day?
  • What happens if we run 30 minutes over?
  • Do guests pay for parking?
  • Is VAT included in the quote?
  • Are there cancellation or rescheduling fees?

How to keep the cost down without cutting quality

  1. Book a half day and run a tight agenda instead of a loose full day.
  2. Choose a room sized for your group — you pay for space you do not use.
  3. Use the venue's own AV instead of renting equipment.
  4. Pick a location with free parking for guests.
  5. Book recurring sessions with the same venue; regular clients are easier to accommodate.
